Morgan, Lewis & Bockius LLP, a leading global law firm with offices in major commercial, legal, and governmental hubs worldwide, is seeking an eData Administrative Coordinator.
Reporting to the Supervisor of eData Administration, the eData Administrative Coordinator assists with the administrative business requirements of the eData Leadership Team and provides technical and administrative support to the eData Practice Group (PG). The position is responsible for the business administrative tasks of the Practice. This position works closely with the eData Attorneys, eData Project Managers, and members of the eData Operations team to achieve quality results and ensure client service and satisfaction in all areas of the Practice.
This position will reside in our Philadelphia office and offers a hybrid in-office/remote working schedule.
Key responsibilities include:
Complete general daily administrative tasks and support (monitoring inbox, scheduling meetings, making travel arrangements, proofreading, submitting expense reports, etc.)
Assist eData leadership team with planning, scheduling, and managing budgets for internal and external meetings, presentations, trainings, etc.
Maintain organizational charts and distribute upon request.
Assist with maintaining and updating the eData Quality Vigilance page on MorganNet.
Prepare and distribute daily and weekly reports to PG management and associates, including, but not limited to the following:
Practice Technology Utilization (weekly)
Chain of Custody (weekly)
EPTA Project Staff reports to eData Associates (daily)
eData Attorney Missing Time Report (daily)
Participate in onboarding contract attorneys and serve as primary contact for the firm Help Desk regarding contract attorney access to firm systems.
Complete all administrative tasks to support managed review projects including, but not limited to the following:
Preparing and distributing kick-off and project evaluation sheets
Setting up internal tracking systems and tools, including firm tools (e.g., ClientSite, Intapp) and practice-specific (e.g., Lathos, EPTA)
Request billable and pro bono matters using Elegrity, and internal matter numbers via the Time Recording Department
Assist with monitoring and administering eData Practice Technology (PT) administrative applications including, but not limited to,
Developing, planning, and implementing process improvements to meet and improve the overall client experience across projects.
Developing and maintaining internal documentation and QRGs for all specific and new processes
Assisting in the development and utilization of metrics
Assisting in developing and testing new processes, when needed
Participate in monthly PG meetings to share information and knowledge including, but not limited to,
eData administrative support team
Practice Technology Project Manager (PM) All-Hands
PG Legal Team
One-on-one meetings with PG management
Update and maintain PTO calendar for eData document reviewers (e.g., eData attorneys and contract attorneys)
Support administrative billing effort, including, but not limited to,
completing monthly eData Billing file
reviewing, researching, and resolving any administrative billing issues
preparing reports and analysis regarding billing and matter administration
Prepare and/or validate client reporting, to include spending forecasts, accruals and monthly and quarterly financial reporting.
Prepare invoicing backup files to support eData services upon request.
Review and allocate vendor and staffing agency invoices.
audit and request edits or corrections as needed.
secure email approvals from internal staff when required.
monitor approvals in Chrome River.
review/research/resolve vendor invoicing issues and aging reports, including staffing agencies and technology vendors.
Prepare reports and summary analysis for eData client non-billable matters.
Track all new matters and iterative technology budgets for matters using OneNote.
Assist with monthly eData time audit process.
Other duties as assigned.
Client-facing responsibilities:
Consolidate and update repository of client data with details of data collection and disposition as performed by Morgan Lewis and vendor staff (client-billable).
Prepare and deliver matter budgets and funding estimates to clients.
Interface with clients regarding purchase order funding and statuses, including monthly funding updates.
Alert clients when funding levels are low and request additional funding as needed.
Prepare/validate and deliver monthly metrics to clients to report on Morgan Lewis activities and provide year-over-year comparisons of expenditures.
Other client support duties as assigned.
Experience and qualifications:
Bachelor's degree (B. A.) in Business, Information Systems, or related field from four-year College or University; or equivalent combination of education and experience.
Minimum of three (3) years of experience in related field.
Excellent written and oral communications skills.
Proficient in Microsoft Excel.
Ability to work independently as well as in a team environment.
Ability to adapt to change and balance competing demands.
Ability to read and interpret general business documents, instructions, and manuals, write routine business correspondence, and speak effectively with employees, clients, and vendors.
