WHAT WE CAN ACHIEVE TOGETHER

The WY Executive Assistant & Trustee Liaison will provide direct administrative, financial, and operational support to the Wyoming State Director and on occasion other members of the chapter's Senior Leadership Team. The WY Executive Assistant & Trustee Liaison will be responsible for a variety of administrative support tasks, which include domestic and international travel arrangements, calendar management, making calls, drafting correspondence, processing expenses, and scheduling and coordinating logistics of meetings and special events as directed. The WY Executive Assistant & Trustee Liaison will collaborate with partners, staff, and volunteers to organize and execute public and private events of various sizes and audiences. They will use available systems and resources to maintain, track, and analyze data, and produce easy to read reports for the State Director, staff, and volunteers. They will provide guidance in satisfying administrative requirements based on extensive knowledge of policies and procedures. They will provide targeted training related to the needs of the State Director. They will implement processes and practices to improve effectiveness. The WY Executive Assistant & Trustee Liaison will serve as the chapter's Trustee Liaison, which entails building trusting relationships with current and past trustees, organizing and evaluating events, and communication functions designed to ensure trustee engagement and satisfaction. They will coordinate activities with multiple variables, setting realistic deadlines and managing the timeline. They will communicate on behalf of their supervisor with staff in various programs across the Conservancy, as well as with donors, vendors, and business relations. They will effectively communicate or distribute information to assist staff in making decisions, solving problems, and improving workflow. They will perform administrative functions for the program, as required. This position requires travel and working long, and flexible hours as needed. The work environment involves only infrequent exposure to disagreeable elements and minor physical exertion and/or strain.


WE'RE LOOKING FOR YOU

There are three main components to this position - providing support to the Wyoming State Director, serving as the chapter Board of Trustee Liaison, and acting as an events coordinator. The ideal candidate can act independently on assigned tasks and exercise independent judgment based on analysis and experience. Our preferred candidate can follow complex instructions, has strong attention to detail and a high level of proficiency with Microsoft Excel. This person should have exceptional communication and collaboration skills and experience providing administrative support. This person needs to experienced handling confidential information.

Specific duties will include:

  • Supporting the WY State Director with calendar management, meeting deadlines and troubleshooting in their absence.
  • Supporting the WY State Director in developing external facing presentations and documents.
  • Ensuring Board of Trustee compliance with Conservancy policies and procedures.
  • May act as a resource to others to solve problems and act in supervisor's stead when instructed.
  • Coordinating all aspects of multiple annual Board of Trustee meetings and other engagement events.
  • Making purchases, processing invoices, contracting with vendors, and assisting with budget preparation.
  • Draft, finalize and manage Board of Trustee communication and track trustee feedback and experience to improve engagement and participation.
  • Organizing all aspects of periodic chapter events to include but not limited to hotel bookings, meals, venue research and contracting, agenda coordination and communications to participants.
  • Working closely with the Development Team to coordinate donor and trustee engagement.
  • May supervise administrative and/or volunteer staff, including training and professional development.
  • Aligning project outcomes with the chapter's Diversity, Equity, Inclusion, and Justice initiatives.

WHAT YOU'LL BRING
  • Bachelor's degree and 2 years' experience or equivalent combination.
  • Experience generating reports and interpreting data.
  • Experience in business writing, editing, and proofreading.
  • Experience organizing time and managing diverse activities to meet deadlines.
  • Experience working across teams and communicating with a wide range of people.

DESIRED QUALIFICATIONS

  • Ability to analyze information for the purpose of coordinating and planning activities and solving problems.
  • Ability to use existing technology to achieve desired results, including high proficiency in all MS Office Suite Products.
  • Experience interpreting guidelines to achieve desired results.
  • Experience working with a Board of directors, donors, volunteers, the public, and/or all levels of staff.
  • Strong organization skills, accuracy, and attention to detail.
  • Ability to design and deliver visually appealing products that are clear and concise.

SALARY INFORMATION

The starting pay range for a candidate selected for this position is generally within the range of $48,600 -- $59,800. This range only applies to candidates whose country of employment is theUSA. Where a successful candidate's actual pay will fall within this range will be based on a variety offactors, including, for example, the candidate's location, qualifications, specific skills, and experience.

Please note countries outside the USA would have a different pay range in the local currency based on the local labor market, and not tied to USA pay or ranges. Your geographic location will be confirmed during the recruitment.
