The Payroll & HRIS Coordinator will handle all aspects of payroll and systems coordination, including processing payroll and system changes, onboarding new hire information, performing quality assurance reviews, and delivering exceptional customer service. A successful candidate for this position is a detail-oriented, solution-oriented, deadline-driven individual who focuses on accurate data results and excellent communication. This position is hybrid, with the expectation of being in the office two to three days per week. This position requires 2-3 days in the corporate office.

Responsibilities

(Payroll):

  • Processes payroll (weekly and bi-weekly) accurately, timely, and confidentially using internal payroll software (ADP Workforce Now) for designated company entities.
  • Assists the team in auditing payroll reconciliations, deposits and deductions on an ongoing basis.
  • Uploads all tax-related documents and mailings to the ADP system through SmartCompliance and monitors the system for updates.
  • Assists in annual W-2 processing with ADP and employee communication.
  • Coordinates timely processing of employment garnishments, liens, and child support payments through ADP. Provides outsourced resource information for employment verifications.
  • Manages the entire cycle of the uncashed checks and escheatment process.
  • Assists with merit, equity and bonus updates as needed.
  • Stays abreast of current payroll laws and changes to ensure company process & policy adherence.
  • Processes incoming HR mail and distributes it accordingly to designated areas.
  • Maintains the designated Payroll email inbox and responds to communications within 48-hour company guidelines.
  • Provides exceptional customer service to Fleet Feet’s internal and external customers through written and verbal communications.
  • Conducts quarter-end and year-end duties, ad hoc reporting, and communications.
  • Performs additional duties as assigned.

 (HRIS):

  • Acts as a liaison between employees, managers, Talent/Recruiting team, Payroll and Benefits team(s), and HR business partners.
  • Confirms new hire documentation is complete, accurate, and updated before deadlines, including completing Form I-9, verification through E-Verify, and the entries of personal employee information, employment/company information, pay profiles, tax profile(s) and benefit profiles are set up for all new hires.
  • Data entry in multiple HR systems to maintain data related to pay, benefits, onboarding compliance and verification/auditing of data on a regular basis.
  • Assists with reporting and auditing of benefit enrollments and related payroll deductions.
  • Assists in 401(k) plan auditing, funding, daily tasks, and reporting.
  • Provides support to Benefits Manager with onboarding new hire benefits.
  • Updates and maintains company created emails within the HRIS system.
  • Supplies outsourced resource information for unemployment claims in collaboration with the HR business partners.
  • Collaborates with Benefits Manager and Finance for billing and allocation reports from HR and Payroll systems.

Requirements:

  • 2+ years experience working in HRIS or Payroll software (ADP Workforce Now a plus)
  • Relevant payroll processing experience.
  • Capability to think critically through essential and complex issues with limited supervision.
  • Solid interpersonal, organizational, and time management skills with attention to detail while maintaining the integrity of sensitive and confidential information.
  • A demonstrated leadership mentality.
  • Excellent communication (written and verbal).
  • Maintains effective working relationships with all employees and relevant internal and external parties/vendors.
  • Eagerness to learn and be part of a team.
  • Advanced computer skills
  • Adaptability and flexibility to work in a fast-paced and changing environment.

Qualifications

  • Bachelor’s Degree (Finance, HR, or Business discipline preferred) or equivalent experience
  • Familiarity with human resource and payroll policies and best practices
  • Designations/Certifications for role
  • Demonstrates a drive for personal accountability
  • Multi-state payroll and taxation experience related to payroll
  • Retail experience a plus

Additional Requirements:  Position requires occasional moving around with light (1-10lbs.) carrying, lifting, pushing or pulling.  The position needs to occasionally move about inside the office to access files, office equipment, etc.  The position is mostly sedentary and requires the employee to have close visual acuity to perform job requirements.  The position requires frequent communication with team members and repetitive motion with the hands, wrists and/or fingers while constantly utilizing a computer. This position is located within an office environment and is not substantially exposed to adverse environmental conditions.
