Job Description:
Are you ready to be the backbone of a dynamic team in the healthcare industry? We are looking for a proactive and highly organized Administrative Assistant to join our Healthcare Intelligence team. This role is perfect for someone who thrives in a fast-paced environment and enjoys tackling a variety of tasks. Youll be providing essential support to a senior manager and a group of professionals within PSMS, handling everything from managing calendars to coordinating special projects.
Position:Administrative Assistant
Hours:8:00 AM to 5:00 PM
Location:Hybrid (Redmond WA on-site twice a week, WFH Wed-Fri)
Rate:$20/hr - $23/hr
Key Responsibilities:
- Executive Support:Be the right hand to our executives by managing calendars, scheduling meetings, updating reference guides, and anticipating their needs.
- Rhythm of Business:Keep the team on track by managing distribution lists, the department calendar, and organizing all-hands meetings.
- FTE / Contractor Management:Ensure smooth onboarding and offboarding processes, track service tickets, and expedite access requests.
- Meeting Support:Capture key points in meetings, draft agendas, and prepare/disseminate materials to keep everyone informed.
- Event Coordination:Plan and execute on-site events, book conference rooms, and arrange catering to make every event a success.
- Travel Coordination:Arrange seamless domestic and international travel, including flights and hotels.
- Asset Management:Manage equipment logistics and coordinate with the Service Desk for repairs.
- Budget Management:Reconcile Amex expenses in Concur and support the finance team with purchase orders, invoices, and contract renewals.
- Mission Ambassador:Lead the charge in coordinating Providence charity volunteer events.
- Other Duties:Take on additional tasks as needed to support the team.
Required Qualifications:
- 2 years of university or college training in English, liberal arts, or related subjects; or graduation from a technical program in secretarial or office support services; or equivalent education/experience.
- 4 years of experience as an administrative or executive assistant, including up to 3 years working directly for a manager or executive.
Preferred Skills:
- Highly organized and self-directed.
- Previous experience in an IS/Data management organization.
- Personal effectiveness and dependability.
- Proficient in Office 365 suite: Word, PowerPoint, Excel.
- Strong written and verbal communication skills.
- Committed to easing the way of our caregivers.
- Budget management experience.
- Project management experience.
Additional Information:
- Join a team of 130 FTE in the US, including 20 leaders, and make a real impact.
- This role includes occasional travel to Renton to work with our desktop support team.
- While not guaranteed, there may be opportunities for conversion based on performance.
- Project support will mainly involve organizing travel, ordering catering, and planning team events.
- Reliable transportation and the ability to drive to our Renton office as needed are required.
